Description:

The Volunteer Coordinator leads the efforts to manage and support the passion of volunteers committed to OUR Rescue’s mission. This position designs and implements mechanisms to nurture the vast number of engaged volunteers maintain a flexible, scalable array of volunteer opportunities and roles that respond to organization and community needs. The Volunteer Coordinator works closely with each OUR department and community partners to develop and maintain relationships and ensure OUR volunteers are involved with and actively participating in events, annual campaigns, and community programs. This position calls for a creative and independent worker who is motivated to bring a new approach to volunteer engagement and volunteer opportunities.

Duties/Responsibilities:

  • Execute the annual strategy and plan to retain and nurture existing volunteers and grow the volunteer program to meet awareness/fundraising goals. 
  • Keep new and existing volunteers informed about the organization and volunteer opportunities using marketing tools such as community programs, e-mails, and volunteer databases. 
  • Utilize tools to improve communication and responsiveness with volunteers at peak times of demand. (Rise Up, Human Trafficking Awareness Month, OUR Events). 
  • Collaborate with the Development Team to facilitate opportunities for donations. 
  • Collaborate with copywriters and Director of Digital Content to write and send monthly educational emails to interested volunteers, in addition to the volunteer customized email journey.
  • Improve OUR ongoing volunteer outreach in collaboration with the Community Engagement Coordinator. 
  • Collaborate with the Community Engagement team to create innovative and engaging campaigns that align with the Marketing and Development Department.
  • Organize production and distribution of marketing materials, signage for events, SWAG, and programs for activities and initiatives related to volunteers. 
  • Produce a monthly presentation with the Volunteer Ambassadors. 
  • Meet and communicate with relevant staff regularly to assess the need for and schedule volunteers to serve in their departments. 
  • Match volunteers’ skillsets to relevant organizational opportunities, and ensure they understand their responsibilities and receive the proper training when representing the organization at all
  • Foster relationships with volunteers and maximize their experience with the organization while making sure they feel appreciated: phone conversations, emails, thank you notes, etc. 
  • Enable a culture which respects and nurtures the acceptance and appreciation of the value that volunteers bring to the mission. 
  • Gather volunteer photos to create a content library and ensure they have signed a photo release form. 
  • Maintain and update the volunteer portal (VOMO) regularly. 
  • Report VOMO’s dashboard analytics and current needs to the Director, Volunteer Engagement weekly.
  • Organize phone calls and email threads per volunteer requests.

Requires Skills/Abilities:

  • Minimum of 2-3 years volunteer management OR related work experience in a non-profit or charitable organization.
  • Volunteer Management / Community Relations experience is a plus.
  • Proof of fundraising with small-medium size gifts is a plus.
  • Understand current trends, resources and information related to volunteerism.
  • People leadership and management: positively influence others to achieve the best results.
  • Effective communication: Speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques. 
  • Decision making: Assess situations to determine the importance, urgency, and risks, and make clear decisions which are timely and in the best interests of the organization.
  • Computers and technology: basic word processing, email, basic spreadsheets
  • Data collection, analysis, documentation, and reporting. 
  • Organization: Independently manage time, tasks and priorities.
